Office Manager/Bookkeeper (Full-time)
We are seeking a dedicated and detail-oriented Office Manager/Bookkeeper to oversee the daily administrative and financial operations of our office. The ideal candidate will possess strong organizational skills and the ability to manage multiple tasks efficiently. This role requires effective communication and leadership abilities to ensure a productive work environment. As the Office Manager, you will play a key role in supporting our team and maintaining smooth administrative and financial processes.
Duties
Accounting
- Accounts Payables and Receivables
- HST reconciliations and remittances
- Bank reconciliations
- Trust Reconciliations
- Trust Report filing
- Receipt, disburse and reconcile client trust funds
- Process bi-weekly payroll
- Reconcile and remit ETD and annual T4s
- Preparation of firm cheques and disburse them accordingly
- Maintain and post all online payments and expenses
- Maintenance of online payment portals
- Prepare monthly financial statements
- Liaise with Accountant for year-end reporting
Human Resources
- Supervision of support staff
- Benefits Administration
- Vacation planning and time off tracking for all staff
- Assisting with hiring support staff, as required
- Staff orientation and training
Administration
- General office administration
Qualifications
- Post-secondary education with an accounting or finance concentration and two-years’ experience in accounting-related positions OR an equivalent combination of related education and experience
- A commitment to high quality work
- Strong attention to detail
- Ability to work under pressure and adhere to strict deadlines
- Excellent organizational and time management skills
- Excellent oral and written communication
- Must be tech savvy and able to work in Office 365 including Teams
- Ability to work independently and as part of a team to achieve common goals
- Good knowledge of accepted accounting principles
- Experience in legal accounting software considered an asset.

Legal Assistant/Paralegal (Full-time)

Nathanson Seaman Watts, Kentville Office is looking for a dynamic individual to join our team as Legal Assistant/Paralegal for a full-time position.
TASKS & RESPONSIBILITIES
- Answering client inquiries, taking care of drop-in clients/cold calls, and communicating with key parties in a timely manner;
- Conducting client intakes, completing conflict searches, and opening new client files;
- Drafting legal documents, including affidavits and court documents;
- Maintaining up-to date and accurate electronic and paper client files with the use of a document management system;
- Scheduling client meetings and maintaining lawyer(s) schedule;
- Drafting routine correspondence and letters for lawyer review;
- Transcribing dictations, producing documents and correspondence;
- Follow-up with clients, courts etc. as directed and necessary;
- Communicating and coordinating regularly with the court(s) and supervising lawyer regarding ongoing proceedings;
- Sorting and prioritizing incoming/outgoing mail/couriers/faxes;
- Copying and/or scanning documents;
- Processing documents, filing documents, storing documents, and organizing files;
- Meet deadlines, ability to multi-task and reprioritize;
- Deal efficiently with matters on an emergency basis, including last-minute preparation of documents, prioritizing matters on a regular basis throughout the day and rescheduling lawyer’s day on short notice when required by contacting clients, other lawyers, etc.;
- Entry of lawyer’s time into the Accounting system for purposes of client billing, including accurately determining the correct matter for each entry; and
- Other – Additional duties as assigned based on the firm’s requirements.
SKILLS & QUALIFICATIONS
(Experience desirable but not essential. Training will be provided for the right candidate)
- Successful completion of paralegal or administrative assistant diploma or equivalent, and 1-3 years’ experience as a legal assistant (considered an asset);
- Excellent technical skills and exceptional attention to detail;
- Accurate and efficient data entry and keyboarding skills;
- Strong organizational and time management skills with the ability to meet tight deadlines;
- Strong verbal, written and interpersonal communication skills with a demonstrated ability to provide superior client service;
- Able to work independently, follow instructions with minimal supervision;
- Knowledge of the Civil Procedure Rules; and
- Ability to manage multiple projects.
